The Information Security Office (ISO) has enacted a new RIT Signature Standard that affects all RIT Faculty and Staff that use email. Starting on July 1, 2009, all email communications that support academic or business functions must contain the information listed below as your signature. This pertains to anyone who sends any kind of email that is related to RIT academic or business functions regardless if it is sent from an RIT email address. What this means is that if you use something like a hotmail or Gmail account, which you shouldn't be using for RIT related functions due to security concerns, you still MUST comply with this new standard.
Please plan ahead and modify the signature for your email so that you include the required information prior to the deadline of July 1, 2009. Should you send an email without the required information, you may be subject to disciplinary action from the ISO office.
Here is the information that you must include in your emails:
- The name of the sender of the email. This cannot be a department name. It must be the name of the person actually sending the email.
- The name of the specific RIT organization or department the sender represents. In most cases for our users, this will be E. Philip Saunders College of Business.
- An RIT phone number, building address and email address that the recipient can use to contact the sender with questions or to verify the authenticity of the email. You cannot use a URL as the primary means of providing this information. It must be in the message itself.
- And finally, the Official RIT Confidentiality Statement, which is available at http://finweb.rit.edu/legalaffairs/confidential.html
